How to Send Automatic WhatsApp Reminders to Everyone Who RSVP'd

Three weeks ago, 80 people said yes. On the day, 52 walk in. The rest didn't mean to skip it. They forgot, mixed up the date, or went to the old address after you moved the venue.
No-shows are rarely about people not caring. They're about the gap between the day someone says yes and the day of the event. The fix is to remind them, but reminding 80 people one at a time is a job nobody has time for.
Why reminding people by hand breaks down
- A reminder in the group chat reaches the people who happen to scroll that day.
- Texting each guest yourself takes an evening, and you still miss a few.
- You forget too. The week before an event is the busiest week, and the reminder is the first thing to slip.
- When plans change, you have to tell everyone again, and some people only see the first message.
What works is a reminder that goes to each guest privately, at the right time, without you doing anything on the day.
How to do it with MsgOrb on WhatsApp
When guests RSVP through your MsgOrb link, MsgOrb knows who is coming. That means it can send each of them the right message at the right time on WhatsApp, and only them.
1. Open your event
Go to RSVP & Check-in and open your event. (New to this? Click New event, fill in the date, start time and venue, and click Start collecting headcount. Then share the RSVP link.)
2. Find the Automatic WhatsApp messages card
On the event's page, the Automatic WhatsApp messages card lists every message MsgOrb can send your guests after they RSVP. Each one is filled in from your event's details, so you don't type anything.
3. Switch on the messages you want
Here's what's in the card:
- Entry pass. Goes out when a guest RSVPs, with their personal pass. It's on by default.
- Headcount check. Goes out 2 to 14 days before, at 10:00 AM. Guests reply YES or NO, and a NO takes them off the guest list straight away.
- Reminder. Goes out 1 to 7 days before, at 10:00 AM, with the date, time and venue.
- Day-of details. Goes out on the day, at the hour you choose, with the start time, the address and a host contact you type in.
- Schedule change. Used when you change the date, time or venue.
Switch on the ones you want, choose the timing, and click Save messages. That's it. They now run on their own.
A good starting point for most events: a Reminder the day before and Day-of details a few hours before the start.
4. If something changes, tell everyone in one click
The venue floods. The start time moves. Open the event's details, make the change, and when you save you'll see a box to tell the guests who are coming about the new date, time or venue on WhatsApp. Leave it ticked, save, and every guest who's coming gets the update.
5. Add the messages once
These reminders reach people who may not have messaged you recently, so they use message templates that Meta approves first. You set this up once:
- Go to Templates, click Built-In Library and choose RSVP.
- Tick the ones you need (RSVP Event Reminder, RSVP Headcount Check, RSVP Day-Of Details, RSVP Schedule Change) and submit them to Meta together.
- Each also has a with Picture version that puts your event flier on top and adds an Open entry pass button.
Approval usually takes 15 to 30 minutes. Once they're approved, every event you create uses them automatically, and the card shows Ready next to each one.
What your guests receive
The day before your event, each guest gets this privately, with their own name:
Hi Sarah, a reminder about Neighborhood Fall Festival, which you RSVP'd for.
📅 Saturday, October 25
🕒 2:00 PM
📍 Maple Street Community CenterReply YES to confirm you are still coming. Your entry pass is one tap away below.
And on the morning of the event:
Hi Sarah, details for today's Neighborhood Fall Festival.
🕒 2:00 PM
📍 Maple Street Community Center
👤 Host contact: Denise, 469-555-0142Show your entry pass at the door. Reply HELP if you need directions.
Sarah doesn't have to hunt through a chat for the time or the address. It's all in one message, with her pass a tap away.
A few things that keep it friendly
- Only guests who are coming get them. People who said they can't make it are left alone.
- Each message goes once per guest. Nobody gets the same reminder twice.
- Anyone who replied STOP never gets them.
- Replies come back to you. If someone answers a reminder with a question, it lands in your MsgOrb Inbox.
What changes for you
Imagine the week of your event. You're busy with the venue, the food and the volunteers. You haven't sent a single reminder, and you don't need to. On Friday at 10:00 AM, every guest gets their reminder. On Saturday morning, they get the time, the address and who to call. When the start time moved, everyone heard about it from one checkbox.
- Fewer no-shows, because people are reminded at the moment it matters.
- No reminder night. You set it up once, and it runs for every event after.
- Changes reach everyone, not just the people who scroll the group chat.
- Your guests feel looked after. A personal message with their name and their pass feels very different from a group post.
