Stop chasing fees one message at a time.

A camp fee announced in the group chat. Some parents pay by transfer, some in cash, some say they’ll pay next week. You keep a spreadsheet of who owes what and send the same reminder again and again.

With MsgOrb, each person gets their own pay link in WhatsApp. Families who need it can split the fee into monthly parts, and those parts are charged on time without anyone remembering to pay. You see who has paid, who is paying in parts and who is late, on one page.

How collecting fees on WhatsApp works

Four steps from creating the program to the last part being paid, with every message on WhatsApp.

  1. Step 1

    Create the program

Name, dates, where it meets, the price and how many places. Choose the WhatsApp group it belongs to, or create a new one.

  2. Step 2

    Send to group

One tap sends every member of the group their own pay link on WhatsApp, with their name and number already filled in.

  3. Step 3

They pay in full or in parts

If you allow it, people choose 2, 3 or 4 monthly parts. The first part is paid now on a secure Stripe page.

  4. Step 4

    The rest is automatic

Later parts are charged to the saved card on their due date, with a WhatsApp reminder 3 days before and a receipt after.

What families see in WhatsApp, step by step

Paying a program fee should take a parent about two minutes on their phone. Here is the whole journey, from your message to the last receipt.

  1. 1

A message from you on WhatsApp

Each family gets their own link in their chat with your organization, not a link lost in the group.

  2. 2

Their sign-up page, already filled in

Their name and number are on it. They see what the program is, when and where it meets, and the price.

  3. 3

    Choose how to pay

Pay in full, or pick 2, 3 or 4 monthly parts if you allow it, and answer any questions you added.

  4. 4

    Pay on Stripe’s secure page

By card, with no account and no app. They see the payment, the booking fee and the total first.

  5. 5

    Confirmation in WhatsApp

A receipt arrives in the same chat. Paying in parts? Each later part gets a reminder 3 days before, then a receipt.

Every payment message, on WhatsApp

These are the messages a family receives, from the first pay link to the last receipt. You don’t write or send any of them: MsgOrb sends each one at the right moment.

Every message comes from your organization’s own WhatsApp Business number, and replies land in your MsgOrb inbox. If the person messaged you in the last 24 hours it goes as a free reply; otherwise it goes as a Meta-approved message, which you add in one click. Anyone who replied STOP is never messaged.

Why collect program fees on WhatsApp?

Fees get paid when the request reaches people where they already are, and asking is easy.

The app families already check

A pay link in WhatsApp sits next to messages from family and friends, not in an inbox full of promotions.

Private, not in the group

Each person gets their own link in their own chat. Nobody’s payment status is on display to the whole group.

Questions come straight back

Parents reply to the message, and you answer from the MsgOrb inbox. No separate support email.

Official and from your number

Sent through the official WhatsApp Business Platform from your organization’s own number. MsgOrb is a Verified Meta Tech Provider.

Your money

Your Stripe account. Your payouts.

Every payment, payout and refund lives in your own Stripe dashboard. MsgOrb sends the links, the reminders and the receipts.

Paid straight to you

Every payment goes to your own Stripe account and Stripe pays out to your bank. MsgOrb never holds your money.

Booking fee paid by the payer

2% of each payment plus $0.50, added on top. People see the amount, the fee and the total before they pay.

Stripe’s fee from your payout

Stripe’s card processing fee comes out of your payout, as with any Stripe payment.

Declined cards retried

A declined part marks the person late, sends one WhatsApp notice with a link to use another card, and is retried up to 3 times.

Refunds in Stripe

Refund anyone from your Stripe dashboard. You can also stop someone’s remaining parts; what they already paid stays paid.

Payers join your group

Someone new who pays is added to the program’s WhatsApp group, so every update after that reaches them.

What people pay

The booking fee is 2% of each payment plus $0.50, added on top. You set the price and receive all of it, less Stripe’s card processing fee.

ProgramEach paymentBooking feePayer pays
$120 workshop, paid in full$120.00$2.90$122.90
$240 course, 4 monthly parts$60.00 a month$1.70$61.70 a month
$450 summer camp, 3 monthly parts$150.00 a month$3.50$153.50 a month

Prices are in your Stripe account’s currency. Outside the US, the fixed part of the fee is about $0.50 in your currency.

How to set up a payment plan families can manage

A $450 camp is a hard yes for many families in one go and an easy yes at $150 a month. Payment plans fill programs that would otherwise lose people on price, as long as they are simple and predictable.

Announcement you can post in your group

⚽ Fall Season 2026 sign-ups are open! Saturdays, Sept 12 to Nov 21, Lakeside Park. $240 covers coaching, uniform and the end-of-season party. Pay in full or in 4 monthly parts of $60. We’re sending each family a personal sign-up link on WhatsApp today. 24 places.

Everyone’s payments on one page, every message on WhatsApp

Each program has its own page in MsgOrb: who signed up, how they are paying, what they have paid and when their next payment is due.

  • Reminders before each charge

People paying in parts get a WhatsApp reminder 3 days before their card is charged.

  • Places that fill up

Set a number of places. An unpaid sign-up holds a place for 2 hours, then lets it go.

  • Close sign-ups any time

Closing stops new sign-ups. People already paying in parts keep paying as planned.

Frequently asked questions

Step-by-step help is in the program fees guide.

Does MsgOrb hold the money?

No. People pay on your own Stripe account, so the money is yours from the start and Stripe pays it out to your bank. MsgOrb only receives its booking fee, which the payer pays on top.

How does paying in parts work?

You choose whether a program can be paid in full only, or in full or in 2, 3 or 4 equal monthly parts. The first part is paid at sign-up and the card is saved on your Stripe account. Each later part is charged automatically one month after the last, with a WhatsApp reminder 3 days before.

What happens if a card is declined?

The person is marked late and gets one WhatsApp message with a link to pay or use another card. MsgOrb also retries the card automatically up to 3 times, 3 days apart. You see who is late on the program’s page.

What does the payer pay?

The payment plus a booking fee of 2% of the payment and $0.50. On a $60 monthly part the payer pays $61.70. The fee applies to every payment, including each part.

How do people get the pay link?

Press Send to group and every member of the program’s WhatsApp group gets their own link. Nobody is messaged twice, people who replied STOP are skipped, and people already paying are skipped. You can also share the program’s sign-up link or QR code anywhere.

Do payers count toward my plan’s member limit?

Yes. Someone new who pays is added to the program’s WhatsApp group and counts like any other member. If you are at your limit, the payment still goes through; they are just not added to the group.

Can I ask questions when people sign up?

Yes. Add up to 8 registration questions, such as a child’s age, T-shirt size or dietary needs. Answers appear on your program’s page and in the download, and are never sent on WhatsApp.

Which WhatsApp number do the messages come from?

Your organization’s own WhatsApp Business number, connected to MsgOrb through Meta’s official sign-up. Families see your name, and their replies come to your MsgOrb inbox.

What do the WhatsApp messages cost?

Replies within 24 hours of someone messaging you are free. Other payment messages are Meta-approved Utility messages, which Meta bills to your own WhatsApp Business Account at its published rates. MsgOrb adds no charge per message.

What if someone isn’t on WhatsApp?

They can still sign up and pay from your program’s sign-up link or QR code, for example on a flier or your website. Reminders and receipts are sent on WhatsApp, so they won’t receive those.

Do families need an account or an app?

No. They open their link, fill in the sign-up page and pay by card on Stripe’s secure checkout page. Everything after that arrives in WhatsApp, which they already use.

What if someone drops out halfway?

Open the program’s page and stop their remaining parts. Nothing more is charged; what they already paid stays paid. If you decide to refund some of it, do that from your Stripe dashboard.

When are the monthly parts charged?

The first part is paid at sign-up. Each later part is charged one month after the one before, so the dates depend on when the person signed up. Open sign-ups early enough that the last part falls before the program ends.

Can I limit how many people sign up?

Yes. Set a number of places. A sign-up that hasn’t been paid holds a place for 2 hours, then lets it go. You can also close sign-ups at any time; people paying in parts keep paying.

Which countries can use Program Fees?

Organizations in the countries Stripe supports for connected accounts, including the United States, Canada, the United Kingdom, most of Europe, Australia and New Zealand. Prices are in your Stripe account’s currency.

Can I take donations or tithes this way?

No. Program fees are for something people sign up for. Donations and tithes need giving receipts and follow different WhatsApp rules, so they are not part of this feature.

Collecting the same amount every month or year? See Membership Dues. Selling seats for one event? See Event Tickets.
