Program Fees

Charge for programs that run over weeks, in full or in up to 4 monthly parts, with receipts and reminders on WhatsApp.

Program Fees is for anything that runs over several weeks: classes, camps, courses, training. People sign up from a link you share on WhatsApp and pay by card, either in full or in monthly parts. The money goes straight to your own Stripe account, the same one you connect for Tickets.

Open Program Fees in the sidebar. Only the workspace owner can create programs, and your Stripe account must be connected first (on the Tickets page).

1. Create a program

  1. 1Click New program.
  2. 2WhatsApp group: who it is for. Pick one of your groups, or create a new one with the program's name.
  3. 3The program: a name, the start date (and end date if there is one), when it meets (for example "Saturdays, 10:00 AM"), where, a short description, and the number of places (leave empty for no limit).
  4. 4Price and payment: the program price, and how people can pay: In full only, or In full, or in 2, 3 or 4 monthly parts. MsgOrb shows exactly what people will pay.
  5. 5Registration questions (optional): for example a child's age or T-shirt size.
  6. 6Click Create program. Its page opens.

Send it to the group

On the program's page, press Send to group. Every member of the group gets a WhatsApp message with their own payment link, with their name and number already filled in. Nobody is messaged twice, people who replied STOP are skipped, and people already paying are skipped. If Meta hasn't approved the Payment Request message yet, the links go out automatically once it does.

For people who aren't in the group yet, use Share on WhatsApp, Copy link or QR code for flier. Anyone who pays from that link joins the group.

2. Paying in parts

The price is split into equal monthly parts (any odd cents go on the first part).

  • The first part is paid at sign-up, and the card is saved on your Stripe account.
  • Three days before each later part, the payer gets a WhatsApp reminder.
  • On the due date the saved card is charged automatically, and a receipt arrives on WhatsApp.
  • If a card is declined, the person shows as Payment late and gets a WhatsApp link to pay or use a different card. MsgOrb also tries the card again automatically a few times.

3. What people pay

People who pay are added to the program's WhatsApp group (if they aren't already one of your contacts) and count toward your plan's member limit like any member.

4. Following payments

Each program's page has three tabs:

  • Overview: people signed up, money collected, still owed, late payments, and the WhatsApp messages.
  • People: everyone who signed up, how they are paying, what they have paid, their next payment and its date. Stop payments cancels someone's remaining parts (what they already paid stays paid).
  • Edit details & price: the same form, and Close sign-ups. A new price applies only to people who sign up after the change.

Refunds are made in your Stripe dashboard.

5. The WhatsApp messages

Receipts, reminders and "payment failed" notices use three Built-In Library templates: Payment Receipt, Payment Reminder and Payment Failed Notice. Click Add the payment messages on the program's page to add them and send them to Meta for approval. If someone messaged you in the last 24 hours, the message goes straight away without a template.

Every message links to the payer's own page, where they see their payments and can pay a late part.
