Places and waitlist

Limit how many people can come, and let people join a waitlist when the event is full.

Any event, free or paid, can have a number of places: how many people can come in total.

Setting it up

  1. 1Open the event (RSVP & Check-in, or Tickets for a paid event).
  2. 2In the event's details, type the number in Places. Leave it empty for no limit.
  3. 3Keep Waitlist when full ticked to let people join a waitlist once every place is taken. Untick it to turn people away instead.
  4. 4Save.

What guests see

  • When only a few places are left, the RSVP page says so.
  • When the event is full, the button says Join the waitlist. Nobody pays anything to join. They get their own waitlist page showing their number in the queue, with Leave the waitlist.
  • A guest can't add people to their RSVP beyond the places left.

When a place opens up

Places free up when a guest changes to fewer people or replies NO, when a payment isn't finished in 2 hours, when a ticket is refunded, when you raise or remove the limit, or when someone leaves the waitlist. The waitlist then moves in order: the first person whose party fits goes next. A bigger party that doesn't fit yet keeps its turn.

EventWhat happens
FreeThey're in automatically, and their entry pass goes to their WhatsApp like any RSVP.
PaidThe place is held for them for 24 hours and they get a WhatsApp message with Book my place. If they don't book in time, it goes to the next person.
For paid events, add RSVP Waitlist Place with Picture from the Built-In Library (Templates → RSVP). It reaches people who haven't written to you in the last 24 hours. Until Meta approves it, only people who wrote to you recently get the message.

Who holds a place

Coming RSVPs, paid tickets, a payment that's in progress (held for 2 hours) and a place held for someone from the waitlist all count. People on the waitlist don't.

Seeing it

The Places and waitlist card on the event page (on the Registrations tab for a paid event) shows how many places are taken, the waitlist in order, any place being held and until when, and Remove to take someone off the waitlist.
