Paper sign-in sheets don’t keep children safe.

A clipboard at the door tells you who signed in, not who is allowed to collect. Allergy notes get lost between volunteers, the queue grows at pickup, and nobody can be sure the person walking out with a child is the right one.

MsgOrb gives every family a pickup code at drop-off, sends it to the parent on WhatsApp, and only releases children when that code is entered at pickup. Volunteers see allergies and staff notes at the moment they need them, and you see who is in the room right now.

How it works

Four steps from registration to pickup. Parents and volunteers never download anything.

  1. Step 1

    Parents register once

    Share your registration link in your WhatsApp groups. Parents add their children, age groups and any allergies or care needs. It takes a minute.

  2. Step 2

    Scan the desk sign

    At drop-off, parents scan the sign on your desk and press send. Their family QR code comes back in WhatsApp.

  3. Step 3

    Volunteers check them in

    A volunteer scans the family QR on their own phone and ticks the children who are here. Allergies and staff notes show on screen.

  4. Step 4

    Pick up with the code

    The parent’s pickup code arrives in the same WhatsApp chat. At pickup, children are only released when the code matches.

Every child goes home with the right person.

The volunteer types the parent’s pickup code. If it matches, the station shows the children under that code and any staff note. If it doesn’t, it says “Do not release.” No guessing, no clipboard.

Released only on a match

The volunteer enters the parent’s pickup code. A match shows the children under that code; anything else shows “No match. Do not release.”

A new code every day

Each family gets a fresh 4-character pickup code at every check-in, so last week’s code can’t be used to collect a child today.

No login for volunteers

Volunteers open the day’s station link and enter a 6-digit PIN you give them in person. Both stop working at midnight.

Staff notes where they matter

Notes such as who may collect a child appear at drop-off and pickup only. They never go on a label or in a message.

Allergies flagged on screen

Allergy and care needs are highlighted for volunteers at check-in and in the room list, and never sent on WhatsApp.

Every action is recorded

Each volunteer enters their name, and it is saved with every check-in and pickup. History is kept for 12 months.

The Kids Check-in page shows today’s numbers, and the station’s Room tab lists every child in the room with allergy and care needs highlighted. Families, children and notes are all in one place.

Do parents need an app?

No. Parents register once with a link in their phone’s browser, and everything else happens in WhatsApp: they scan the desk sign, press send, and their family QR code and pickup code arrive in their chat with you.

Do parents register every week?

No. Registration is once. The family QR code stays the same, so parents can save it or take a screenshot. Only the pickup code changes, and a new one is made at every check-in.

Do volunteers need a MsgOrb account?

No. You open a station for the day and send volunteers the link. They enter their name and the 6-digit PIN you tell them in person. The station only checks children in and out, and it stops working at midnight.

Is sending the pickup code free?

When the parent has messaged you in the last 24 hours, the reply is free, and the desk sign makes that the normal case: parents scan it and press send at drop-off. For parents who didn’t message that day, you can switch on a backup WhatsApp template, which is a paid Meta message, or turn it off and let volunteers write the code on the child’s sticker.

What if a parent doesn’t have their phone at pickup?

Volunteers write the pickup code on each child’s sticker at drop-off, and can write it on a slip for the parent too. The pickup code is what matters, wherever it comes from.

Can I run more than one program?

Yes. Each program, for example “Sunday Kids” or “Summer Camp”, has its own registration link, desk sign, station and list of families.

How much does Kids Check-in cost?

It is included on every MsgOrb plan, including the free plan. Each parent counts as 1 member of your plan, and children don’t count. The free plan covers up to 60 members. View pricing
