Your door team shouldn’t need your password. Send them the door link on WhatsApp: it opens a scanner on their own phone and nothing more. Green with the party size when a pass is good, red when it has already been used or the guest said they can’t come.

How does WhatsApp fit into event check-in?

WhatsApp carries every step. You invite guests by posting your RSVP link in your WhatsApp groups and chats, MsgOrb sends each guest a link to their QR entry pass on WhatsApp from your organisation’s number, their questions about the time and venue are answered automatically on WhatsApp, and your door team receives the scanner link on WhatsApp.

Do guests need an app or an account to RSVP?

No. Guests tap the RSVP link in WhatsApp, enter their name, WhatsApp number and how many people are coming, and their pass is ready straight away in their phone’s browser. Nothing to download, no account to create.

What do I need to send passes on WhatsApp?

Your WhatsApp Business number connected to MsgOrb and one approved Utility template. MsgOrb includes a ready-made “RSVP Entry Pass” template in the template library: review it, edit it if you like, and submit it to Meta. Until it is approved, new guests still get their pass on screen the moment they RSVP, and you can send any guest their pass from the guest list.

Does the person at the door need to log in?

No. You send them a door link on WhatsApp. It opens a scanner on their phone and nothing else: it can’t see your guest list or any other part of your account. You can replace or turn off the link at any time, and it closes by itself the day after the event.

What happens if someone tries to use a pass twice?

The first scan shows green with the guest’s name and party size. Any later scan of the same pass shows red with the time it was first used, so the door team knows to stop and check.

What if a guest’s QR code won’t scan?

Every pass also shows a short 8-character code that the door team can type in. If a guest can’t find their pass, they can open it again from their WhatsApp chat with you, or you can copy their pass link from the guest list and send it again.

Can guests change their answer?

Yes. From their pass, a guest can change how many people are coming or say they can no longer make it, up until they are checked in or the event is over. Your headcount updates automatically.

Can I sell tickets?

Yes. Make an event paid and guests pay by card when they RSVP. The money goes straight to your own Stripe account, a small booking fee is added for the guest, and the entry pass arrives on WhatsApp once they have paid. See Event Tickets

How much does Event Check-in cost?

It is included on every MsgOrb plan, including the free plan. Each new guest who RSVPs is added to your contacts, so they count toward your plan’s member limit: one per guest, whatever the size of their party. The free plan covers up to 60 members. View pricing
