Drop-off and pickup on the day

Open the station, check children in with the family QR code, and release them only when the pickup code matches.

Volunteers run check-in from a station: a link that opens on their own phone, protected by a PIN. They don't need a MsgOrb account.

1. Open today's station

  1. 1On Kids Check-in, click Open today's station.
  2. 2Note the 6-digit PIN. It is shown only once.
  3. 3Copy the station link and send it to your volunteers. Tell them the PIN in person, not in a group chat.

The link and PIN stop working at midnight in your organization's time zone, so open a new station on each day you run check-in. Lost the PIN? Click Open a new station: the old link and PIN stop working straight away. Close station ends it early.

Each volunteer opens the link and enters their name and the PIN. Their name is recorded with every check-in and pickup.

2. Check children in

The station has three tabs: Check in, Pick up and Room.

  1. 1Ask the parent to scan the desk sign and press send. Their family QR code arrives in WhatsApp.
  2. 2Tap Scan family QR code and scan it, or type the parent's WhatsApp number or family code and tap Find.
  3. 3Check the staff note and any allergy or care flags.
  4. 4Tick the children who are here and tap Check in.

The station shows the family's pickup code, 4 characters such as K7M2. Write it on each child's sticker. The screen also says whether it was sent to the parent on WhatsApp. If it says Not sent on WhatsApp, write the code on a slip for the parent too.

Brothers and sisters checked in together share one code. A new code is made every day.

Already checked in

If every child in the family is already in, the station says so and shows today's pickup code. Tap Send the pickup pass to the parent again to resend it. Nothing else changes: the code stays the same and no second check-in is made. If it can't be sent, ask the parent to send Check in on WhatsApp first, then try again.

3. Pick up

  1. 1Open the Pick up tab.
  2. 2Enter the pickup code from the parent's WhatsApp message or slip.
  3. 3If it matches, the station lists the children under that code with any staff note. Tick the children being collected and release them.

If the code doesn't match, the station says No match. Do not release. Check with your kids lead.

4. The room list

The Room tab lists the children in the room right now, grouped by age, with allergy and care flags highlighted. Tap refresh to update it.
