How to Collect Field Trip Payments and Permission Details on WhatsApp
School Payments Guide

One form for the money and the permission slip. See who paid, who said yes, and who still needs a nudge—without chasing twenty parents one by one.

By MsgOrb

It's three weeks before the museum trip, and you're holding a folder of permission slips that don't match the cash in the envelope. One parent paid but didn't sign. Two signed but haven't paid. A third wrote "yes" on the slip but asked in the group chat whether the trip is still happening. You need a single list that shows who's paid and who's given permission—before the bus company asks for a final number.

Why the usual way breaks

A paper slip comes back crumpled, unsigned, or not at all. Cash gets sent in an envelope with no name on it. The permission form and the payment live in two different places, so matching them up means spreading everything on a table and hoping the names line up. And when a parent asks "did you get my payment?" you have to dig through the envelope to answer.

What you need is one form that collects the payment and the permission answers together, and a list that shows you both at a glance. That's what MsgOrb does on WhatsApp.

How to do it with MsgOrb on WhatsApp

  1. Connect Stripe on the Tickets page. You only do this once. Card payments are processed by Stripe and paid into your own Stripe account—MsgOrb never holds the money.
  2. In Program Fees, click New program. This is where the trip lives: the money and the details in one place.
  3. Pick the class's group. Remember, a group in MsgOrb is a contact list, not a WhatsApp group chat. Each parent gets their own private message.
  4. Add the trip name, the date and the place.
  5. Set the price, and choose In full only or monthly parts if you're letting families spread the cost.
  6. Add your registration questions. This is where the permission details go. For example: "I give permission for my child to attend: Yes / No," the child's name, and any allergies. Parents answer once, right when they pay.
  7. Click Create program, then Send to group. Each parent gets their own payment link on WhatsApp, with their name and number already filled in.
  8. Receipts arrive on WhatsApp once a parent pays. No separate email to chase.
  9. Open the People tab to see who paid and their answers side by side. You can follow up with the few who haven't—instead of guessing from a folder of slips.

One plain note: the payment link goes out as a message template that Meta approves first, usually within 15 to 30 minutes. The message is about the trip the parent signed up for, so it fits.

The booking fee is 2% + $0.50, paid by the parent on top of the trip price, so the school receives the full amount.

What your parents receive

Each parent gets a private WhatsApp message with their own payment link and their name on it. They tap it, pay by card, and answer the permission questions in the same place. The receipt comes back to the same chat. It feels like this:

"Hi Danielle, here's the payment link for the Grade 5 museum trip on November 14. The cost is $35.00. You'll also confirm permission and add any allergies when you pay. Tap below to get started."

No app to download. No form to print. No envelope of cash.

What changes for you

The folder of mismatched slips goes away. One list shows you who paid and who gave permission, so you can see at a glance that most families are set and only a handful need a reminder. When the bus company asks for a final number, you have it.

When a parent asks "did my payment go through?" you open the People tab and answer in seconds. No digging through envelopes.

And the permission answers—child's name, allergies, yes or no—are saved right next to the payment, not on a separate piece of paper that may or may not make it back to school.

Try it

If field trip season means a folder of slips and a cash envelope that never quite add up, MsgOrb gives you one clean list instead. Set up your next trip and see how it feels to have the money and the permission in the same place. Start free.
