How to Send Appointment Reminders on WhatsApp From Your Booking System
Appointments Guide

Reminders that go out on their own every time someone books. Fewer empty chairs, fewer no-shows, and no more sending texts by hand.

By MsgOrb

It's 10:15, and your 10:00 appointment hasn't shown. You check your phone—no message, no call. The client booked three weeks ago, seemed keen, and then just… didn't come. That's an hour you won't get back, and a slot someone else could have taken.

You know a reminder would have helped. But sending one by hand every time someone books isn't realistic, especially when you're with a client or mid-appointment. And if your booking system doesn't send reminders on its own, the gaps in your day keep adding up.

Why the usual way breaks

Reminders sent by hand depend on you remembering, at the right moment, with the right details. On a busy day, that's the first thing to slip. A reminder jotted on a sticky note gets covered by the next task. One that lives in your head gets forgotten by 11 o'clock.

Some booking systems do send reminders—by email that people don't open, or by text that gets lost in the noise. What you want is a reminder that shows up where people actually look, on their phone, in the chat they already have open. And you want it to send every time a booking is made, without you doing anything.

That's what MsgOrb does on WhatsApp.

How to do it with MsgOrb on WhatsApp

You set this up once. After that, every booking your system makes can send a reminder on its own. Here's how it goes.

  1. Under Automations, open Notification, then open Appointment. This is where the reminder is set up.
  2. Choose the approved template to send. The page offers a ready-made starter you can submit to Meta, so you don't need to write one from scratch.
  3. Copy the link and key that MsgOrb shows at the top of the page. Give both to whoever manages your booking system. The booking system needs to be able to send a web request when a booking is made—your system's manager will know what to do with the link and key.
  4. Match the boxes. You tell MsgOrb which field in your booking is the phone number, and which is the name, date and time. This is how each reminder gets the right details for each person.
  5. Run a test in test mode. It checks the whole setup without sending anything, so you can see that the fields line up before a single real message goes out.
  6. That's it. After setup, each new booking sends a WhatsApp reminder automatically. You don't touch it again.

The reminder itself is a message template that Meta approves first, usually within 15 to 30 minutes. It's about an appointment the person booked, so it fits what they signed up for.

And at the bottom of the page, the Connection Logs show each reminder that went out. So you can look back and see exactly what was sent, and when—useful if a client ever says "I never got a reminder."

What your clients receive

Each client gets a private WhatsApp message on their phone, with their own name and their own appointment details in it. It feels like this:

"Hi Jordan, a reminder that your appointment with us is on Tuesday, October 20 at 2:30 PM. Reply if you need to change it. See you then."

No app to open, no link to click, no logging in. Just the reminder, at the moment it's useful, in the chat they already check.

What changes for you

The gaps in your day shrink. When people get a reminder the day before, they show up, or they tell you in time that they can't. Either way, you're not sitting with an empty chair wondering where they are.

You stop remembering. The reminder goes out every time a booking is made, whatever else is on your plate. You're never the bottleneck between a booking and a reminder.

Setup is a one-time job. Once the fields are matched and the test passes, the reminders run quietly in the background. The Connection Logs give you a record you can trust when a question comes up.

And when someone does miss an appointment, at least you know the reminder went out. That takes the sting out of a no-show—it's far more often a forgotten reminder than a forgotten appointment.
