How to Send Weekday-Only WhatsApp Reminders to Parents

Monday-to-Friday reminders that send themselves. No Saturday pings. No Sunday scramble. Just school-day messages parents actually read.
By MsgOrb
It's Sunday night. You're a school admin, and you've just remembered that tomorrow is a half day for teacher training. You open your phone, find the parents' group chat, and start typing. Then you pause. If you send it now, some parents will read it tonight, some will miss it, and a few will ask the same question three times before morning. And you still have forms due Friday, pickup changes on Wednesday, and a field trip permission slip that needs a nudge.
You want reminders that go out on school days, at a set time, without you thinking about it. Not on Saturday. Not on Sunday. Just Monday through Friday, when it matters.
Why the usual way breaks
A group chat is easy to start and impossible to control. You send a reminder, and it scrolls away under twenty replies of "Got it" and "Thanks." You try a paper flyer, but it gets lost at the bottom of a backpack. You consider texting each parent one by one, but with two hundred families that's not a plan—that's a second job.
What you really need is a reminder that goes out on its own, on the days you choose, to each parent privately, with their name on it. That's what MsgOrb does on WhatsApp.
How to do it with MsgOrb on WhatsApp
- Under Automations, open Organisation and choose School. This sets up the reminder for a school audience, which is what you are.
- Pick the parents' group. In MsgOrb, a group is a contact list—not a WhatsApp group chat. Each parent gets their own private message, with their first name in it.
- Write the reminder. Keep it short and specific: what's happening, when, and what the parent needs to do. "Hi Sarah, just a reminder that pickup is at 1:00 PM on Wednesday for parent conferences."
- Choose Schedule for Later and pick the time you want it to go out—say, 7:00 AM, before the school run.
- Set Repeat to Daily. This is the part that saves you. The reminder will go out every day at that time.
- Now tap Weekdays (Mon to Fri). The summary will read something like "every weekday (Monday to Friday)." If you want to skip a particular day—say, no reminders on Wednesdays—tap that day to leave it out.
- Check the summary. It shows how many sends are planned and the date of the last one. If the reminder is set to run for the rest of the term, you'll see that end date. MsgOrb emails you a week before it runs out, so you're never caught off guard.
- If a holiday falls on a weekday, you can cancel just that day's send in Campaigns. The rest of the schedule stays as it is.
One plain note: repeating messages like this use a message template that Meta approves first, usually within 15 to 30 minutes. The reminder needs to be about something parents signed up for—school days, pickup times, forms due. That's exactly what this is.
What your parents receive
Each parent gets a private message on WhatsApp, with their own name on it. It looks like this:
"Hi Maria, a quick reminder that school starts at 8:15 AM tomorrow. It's a half day, so pickup is at 12:30 PM. Reply if you have any questions."
No group chat. No scrolling. Just the information, on their phone, at the time you chose. And because it repeats Monday through Friday, the parents who usually miss the flyer start to expect it.
What changes for you
The Sunday-night scramble goes away. You set the reminder once, choose weekdays only, and MsgOrb handles the rest. No weekend messages. No group-chat noise. No texting people one by one.
You also get your evenings back. Instead of composing the same reminder for the fifth time, you write it once and let the schedule do the work. When something changes—a different pickup time, a form due date—you update the message, and the next weekday send carries the new details.
And when the reminder's run is nearly over, MsgOrb emails you. So you're never surprised by a silent week.
