How a WhatsApp AI Agent Answers Church and School Questions After Hours
Most questions arrive in the evening or on a weekend. Here is how an AI agent answers them on WhatsApp from what you tell it, and hands the rest to your team.
It's 10:40 on a Thursday night. A mom is packing her son's bag for the youth retreat and messages your church's WhatsApp number: "What time do the buses leave tomorrow, and do the kids need sleeping bags?" Nobody is at the office. She waits until morning, or she calls the youth pastor's cell phone, or she guesses.
Every church and school gets the same questions, over and over, and most of them arrive in the evening or on a weekend. What time does it start? Where do I park? How do I register? Who do I talk to about the field trip form? This guide shows how a WhatsApp AI agent answers those questions for you, what it will and won't do, and what it costs.
What a WhatsApp AI agent actually does
An AI agent reads a question in plain words and writes an answer from information you gave it. Unlike a menu bot ("Press 1 for service times"), people just ask the way they would ask a person, and it answers the way your welcome desk would.
MsgOrb's AI Agent works on your organization's own WhatsApp number. It only answers from what you wrote about your organization and the details of your open event. When it doesn't know, it says so and passes the message to your team.
Smart Replies answer first
MsgOrb already answers many messages without any AI. Smart Replies match common questions about an event to the answers you typed. Keywords like GIVE, JOIN and "Check in" do their job straight away. Payment questions get the person's own payment details.
The AI Agent steps in only when none of those matched: a question no Smart Reply covers, or a message when no event is open, which would otherwise wait until someone checks the Inbox. Simple messages like "ok" and "thanks" are never answered.
How to set it up
- Open the AI Agent page in your MsgOrb dashboard. It's an add-on for any paid plan: Basic, Growth, Pro or Enterprise.
- Write a short "about us". Who you are and what you do, in two or three sentences.
- Fill in where and when. Your address, parking, service or class times, office hours.
- Add the questions people really ask, with your answers. Think about what your secretary or front office answers every week. Write it the way you'd brief a new volunteer at the welcome desk.
- List who to contact for what. Registration, payments, children's ministry, the school nurse.
- Turn it on. From then on it answers on your WhatsApp number whenever nothing else did.
When you have an open event, the agent also knows that event's details, such as the date, time, venue and dress code. Questions about this Saturday's retreat are answered from the event you already created.
What the conversation looks like
Parent, 10:40 PM: What time do the buses leave tomorrow, and do the kids need sleeping bags?
Grace Chapel: The buses leave from the church parking lot at 4:00 PM on Friday. Yes, each student needs a sleeping bag and a pillow. The full packing list is in the retreat email. If you have other questions, Pastor Mike is the contact for the retreat.
Parent, 7:15 AM: Is there school today? The roads look icy.
Oak Hill Elementary: I don't have that information yet. Someone from the school office will get back to you on WhatsApp.
The second answer is the important one. The agent doesn't guess. If the answer isn't in what you wrote, it says someone will reply, and the message reaches your team in the Inbox like any other.
What always goes to a person
Some messages go to your team whatever the knowledge base says: refunds, complaints, emergencies, anything about a child's safety, and anyone who asks to talk to a person. A pastor or principal should handle those, and the agent hands them over.
What it costs
- MsgOrb: $19 a month on top of any paid plan. It includes 2,000 AI answers a month on Basic, 5,000 on Growth and 10,000 on Pro and Enterprise. Need more? Add 1,000 answers for $10, once or automatically when they run out; extra answers you don't use carry over to the next month. Otherwise messages go to your team until the 1st, there are no surprise charges, and you can stop it any time.
- Meta: the agent's answers are replies inside the 24-hour window the person opened. They count toward the 1,000 free replies Meta includes each month for your number. After that, Meta charges its Utility rate per reply ($0.0034 in the US and Canada) and bills your own WhatsApp Business Account. See what the October 2026 price change means.
The Free plan doesn't include the AI Agent, but Smart Replies work on every plan, Free included.
Tips for a knowledge base that works
- Use the real questions. Scroll back through your WhatsApp and pick the ten questions you answered most this month.
- Be specific. "Service is at 9:00 and 11:00 AM on Sundays" beats "We have services on Sunday morning."
- Update it when things change. New office hours, a new youth pastor, a summer schedule: change the page the same day.
- Keep the private things out. Don't put door codes, staff home numbers or anything you wouldn't put on a public notice board.
See it before you decide
MsgOrb answers its own help number with the same kind of AI agent. Message +1 (945) 396-1124 on WhatsApp and ask anything about MsgOrb, and see how fast the answer comes.
