How to Make a WhatsApp QR Code for Your Organization

Learn how to make a WhatsApp QR code for your church, school or shop, and how to collect consent when people scan it. Free tools and a step-by-step guide.

Printed signs and flyers are still one of the best ways to grow a church, school or shop contact list. The trouble starts when a person sees your sign, wants to join, and then has to remember a phone number, type it in, and hope they typed it right. Most people won't bother. They walk past the poster, or they forget by the time they reach their phone.

A WhatsApp QR code fixes that. A person points their phone camera at the code, taps one button, and a chat with your organization opens with the join message already filled in. No typing, no mistakes. The same idea works on a bulletin, a table tent at the register or the back of a church pew.

Below you'll see how a QR code works, what you can do with tools you already have, and how MsgOrb creates the code and collects people's consent when they scan it.

What a WhatsApp QR code actually does

A WhatsApp QR code is a picture of a "click to chat" link. When scanned, it opens WhatsApp with a message ready to send to your number. The person still has to press send, which is useful: they are choosing to message you.

The code itself doesn't add anyone to a list. Once the chat opens, someone on your team still has to reply, or you need a system that replies automatically and records that the person agreed to hear from you. That gap is where most organizations lose people.

Doing it yourself with tools you already have

You can make a basic click-to-chat link and turn it into a QR code for free:

  1. Write your number with the country code and no spaces or symbols, for example 12145550123 for a US number starting with +1 214 555 0123.
  2. Build the link as `https://wa.me/12145550123?text=JOIN` (put the words you want people to send inside the text part, with spaces written as %20).
  3. Paste that link into any free QR generator and download the image.
  4. Print it on the sign.

This works, but it has real limits:

  • Someone has to answer every "JOIN." If your volunteer is busy on Sunday, people get no reply and quietly give up.
  • You won't know who opted in. Adding people to a WhatsApp group by hand doesn't record that they agreed to receive your messages, and US rules and WhatsApp's own policies expect clear consent.
  • Sending to the group later is hard. WhatsApp group chats hold a limited number of people, and broadcast lists have their own cap, so a growing list can get messy fast.

If you only ever want a link to open a conversation, the free route is fine. If you want people added to a list with a reply sent automatically, you need something more.

How to do this with MsgOrb

MsgOrb gives you two things: a free QR code generator, and a printable Text JOIN sign on each group's page that adds people with their consent recorded.

Step 1: Create a free account. Go to MsgOrb and sign up. The Free plan costs $0 forever and supports up to 60 members, with no credit card needed. You'll connect your organization's WhatsApp Business number in Settings.

Step 2: Make the QR code. Open the free WhatsApp QR code generator and enter your organization's WhatsApp number. Download the image and check that it scans on your own phone before you print a hundred copies.

Step 3: Set up Text to Join for one group. Text to Join lets people send JOIN to your WhatsApp number and be added to a contact list, with their consent recorded and a welcome reply sent. Turn it on for one group on that group's page. You can read more about the feature on the Text to Join page.

Step 4: Print the Text JOIN sign. On the group's page, use the printable Text JOIN sign, which carries the QR code and the instruction. Put it at the church entrance, the school front office, or the shop counter. When someone scans it, the JOIN message is already filled in, and MsgOrb adds them to the group and sends the welcome reply.

Step 5: Send to the group. Once people have joined, you can send announcements, reminders or events to that group from the same account. Use a template that's been approved, and check the tools page for other helpers that work with your number.

Because MsgOrb records consent at the moment of joining, you don't need to hand-enter names from a sign-up sheet.

Example welcome message

When someone joins, MsgOrb sends a welcome reply. Your text might look like this:

Hi Emily, thanks for joining the Grace Community Church updates on WhatsApp! We'll share Sunday service times, prayer requests and events like the Saturday, November 14, 2026 food drive. Reply STOP at any time to leave the list.

Keep the message short, say who is writing, explain what they'll receive, and always show how to leave.

Tips for signs that people actually scan

  • Tell them what they get. "Scan for Sunday service reminders and prayer requests" beats "Join our WhatsApp."
  • Make the code big. A code under 2 inches square is hard to scan from arm's length. Test it from a few feet away.
  • Put it where people already wait. Entrances, lobbies, the school pickup line and checkout counters work well.
  • Say how to stop. Telling people they can reply STOP builds trust and keeps your list healthy.
  • Check it after printing. Scan the printed sign with a phone in poor light before you hang it everywhere.

Frequently asked questions

Do people need to install anything to scan the code? No. They need WhatsApp on their phone. The code opens a chat with your number, and they press send.

Can I use a WhatsApp QR code for a shop or school, not just a church? Yes. The same steps work for any organization that has a WhatsApp Business number and wants people to join a contact list.

What happens if I change my WhatsApp number? The QR code points to the number it was made with. If your number changes, make a new code and reprint the signs.

Is it free to start? Yes. The Free plan is $0 forever for up to 60 members. Paid plans start at $19.99 a month if you grow past that.
